From time to time, you will receive official correspondences from the University and the Faculty via electronic mail. Please refer to http://www.governingcouncil.utoronto.ca/policies/studentemail.htmfor detail. It is imperative that you maintain a university-sponsored email address (e.g., those ending in “@utoronto.ca” or “@toronto.edu” or @mail.utoronto.ca for new students). Please ensure that your university assigned email address is recorded on ROSI (more on ROSI and Email account later in the email).
A number of URL’s are referred to in the email. Please note that if the address appears on more than one line, you may have to “copy” and “paste” the full address to your browser, otherwise you will receive an error message.
Registration 2011-12
A student is considered to be registered as soon as he or she has paid tuition and incidental fees, or has made appropriate arrangements for deferral of payment. By virtue of being registered, a student thereby agrees to abide by all of the academic and non-academic policies, rules and regulations of the University and his or her faculty as set out in the faculty calendar.
A copy of the faculty calendar can be found on http://bloomberg.nursing.utoronto.ca/academic/calendar.htm (The 2011-2012 version will be available soon.) As a graduate student, you are also bound by the rules and regulations of School of Graduate Studies (SGS). A copy of their calendar can be found on http://www.sgs.utoronto.ca/calendar.htm.
The last date to register without late registration fee is September 16; however, students are strongly encouraged to register by August 26 (which is the official deadline to register), since it will take several days for the payment to be transferred to the university. After September 16, a late registration fee of $44 plus $5 per day to a maximum of $94 will be levied by SGS. Students must go to SGS for registration after September 16 and take their fees receipt or tuition deferral. Students who do not register by the deadline will not receive T2202A tuition credit for the month of September.
Later in September, SGS will cancel the course enrolment of all students who have not yet registered and students will be required to register and pay the late fee at SGS. All course enrolments (including access to BlackBoard) will also be cancelled and students will have to re-enroll, which may take several days to complete. In order to avoid the late registration fee and the hassles of being de-enrolled from the course, please make sure you register by August 26. (Registration and enrolment are two different events. Former is done by paying fees and the latter by signing up for courses on Rosi. You do not have to be registered in order to sign up for courses.)
Tuition payment and invoice
The University of Toronto does not produce tuition invoice in paper format. Instead students can obtain it through ROSI. In other words, you are able to view and print your invoice for the academic year 2011-12 on ROSI starting on July 18. You can then either pay through on-line banking or print the invoice and take it to your local branch for payment.
Please refer to http://www.fees.utoronto.ca/session/fall/reg_instructions/reg_steps_and_deadlines.htmfor more details on the registration and fees payment procedure.
Details on fees invoice can be found on http://www.fees.utoronto.ca/session/fall/Making_Payments/Making_a_Fee_Payment.htm. August 26 is the last date by which students have to register by making fee payment or deferring fees. The gap between this date and September 16 is to allow the payment to reach the University from your bank branch. Please note that it may 5 days or more for the bank transaction to appear on ROSI.
In order to register you must pay at least the “minimum payment to register” amount (which is shown on your invoice). A monthly service charge of 1.5% will apply to all outstanding fees starting on November 15.
Also please note that you must clear all fees arrears from previous session in order to be eligible for registration.
Fee and Fee Deferral
Your total tuition fee is made up of 3 components: program fee, campus wide incidental fee, program specific incidental fee. Your fee invoice will show you the break-down of each category of your fee per term. Fee is charged based on your program and status, not by the number of courses taken. There is no separate summer tuition fee as long as students are registered for at least one term as a full time student. The tuition fee for the 2012-2013 session will not be available until next summer; however, for those interested in finding about the next year’s fee, the Provost’s website may help you http://www.provost.utoronto.ca/link/students/fees12/flc.htm.
For students who start their NP program this fall, the clinical placement fee for the year 2 of your program is expected to be $1045 in 2012-2013, since bulk of clinical placement occurs in year 2 of the program.
Under certain circumstances, tuition fee payment may be deferred. That is, students are allowed to register without making fee payment.
Students who are receiving government loans can defer their fees until the loan payment is received. The fee deferral based on OSAP can now be done through Rosi (go to Financial Account). The loan documents are available from SGS (63 St. George St.) in September.
A government sponsored tuition reimbursement program is still in effect for those teaching nursing at a post secondary institution. Please refer to
http://bloomberg.nursing.utoronto.ca/students/graduate/mnstudents/tuition_refund.htm for further detail.
A letter confirming employment in the new academic year is required. Please submit the letter to Student Services by February 1, 2012.
Doctoral students receiving full funding are eligible for fee deferral. Please use the following form http://www.sgs.utoronto.ca/Assets/SGS+Digital+Assets/current/Student+Forms/Register+without+Payment+2011-12.pdf
Master’s students receiving an award that covers at least “the minimum payment to register” amount can also request a fee deferral using the same form as above.
Enrolling in fall/winter courses
Lists of courses available in the fall and winter sessions are now posted on our website, http://bloomberg.nursing.utoronto.ca/students/graduate.htm. ROSI will open at 6AM on Tuesday July 26, 2011 for you to sign up for both fall and winter courses. Summer course sign up will occur in March. Please note that you do not have to pay tuition fee before enrolling. For course descriptions, please refer to the faculty calendar.
Please refer to the course timetable prior to enrolment for any last minute update. In fact, there will be a few minor updates, which will be posted later this week.
For students in Post Master’s program, the enrolment will be done by Student Services.
Please note that all courses have limited enrolment; therefore early sign up is encouraged. Although ROSI will be open for 2 weeks after the start of the term for sign up (for nursing courses); however, by then there may not be available spaces. For fall courses, the last date to enroll is September 26 and for the winter courses January 23, 2012. In addition, please refrain from holding onto courses you do not need, so that others can take the course. The maximum number of courses you can sign up each term is 2.
Please note that due to the Labour Day falling so late in September, graduate nursing courses will begin during the week of September 12 this year. Other graduate courses may start earlier.
COURSE SELECTION (for MN students)
Important: Not all courses listed in the calendar are available each year. Therefore, it is strongly recommended that MN students do not take all the foundations courses before they take the core field courses. You are also encouraged to seek advice from your academic advisors: Administration (Sean Clarke sean.clarke@utoronto.ca), Clinical (LaRon Nelson laron.nelson@utoronto.ca), NP (Monica Parry monica.parry@utoronto.ca).
For students in administration and clinical field, you may wish to refer to the “suggested course progress” on http://bloomberg.nursing.utoronto.ca/Assets/Nursing+Digital+Assets/From+root+folder/Suggested_Course_Progress.docx
For NP students please note that your program is “structured” in a sense many courses such as NUR1100Y and all clinical courses (NUR1101, 1102, 1114, 11015, 1116, 1117, 1110) are offered only once a year. Therefore, not completing your courses in sequence will delay your degree completion. Normally NP students begin their program with NUR1110Y, which is a full year course. They should also include NUR1022 in either fall or winter term, since it is a pre-requisite for NUR1034, which is offered only in the summer. Either NUR1017 or NUR1028 are taken as their final course in year 1.
Please note that NUR1034 is offered during summer term only. NUR1022 is a pre-requisite for NUR1034.
COURSE LOAD LIMIT (for MN students)
Please note that the normal course load for full time MN program is a minimum of 4 per academic year (Sept to Aug, or 3 terms). Enrolling in too few a course may mean a delay in completion of your degree. That is, if a master’s student takes 3 years to complete the degree (the minimum program length of MN program is 2 years), 3 years’ worth of tuition payment would be required. Alternatively, if degree requirement is completed in less than 2 years (i.e., minimum program length), a “balance of degree” will be charge (more on this later).
WAIT LIST (ROSI)
We will be using the wait list function of ROSI this year for non foundation course only. In other words, if the course you are interested is full, you can request ROSI to be placed on a wait list. ROSI will automatically enroll you as spaces become available and notify you through an email.
IN-CLASS/ON-LINE OPTIONS
Foundational courses, i.e., NUR 1017, NUR 1022, NUR 1028, and NUR 1034, are offered in both on-line and in-class formats. Normally, on-line sections are reserved for students in the Nurse Practitioner field and in-class sections are reserved for students in the Nursing Administration and Clinical Nursing fields. To accommodate students’ needs, we will be offering a wait-list system so that NP students can access in-class sections and Nursing Administration and Clinical Nursing students can access on-line sections for these courses, pending space availability. If you would like to be added to a waitlist, please contact Kate Youngonce registration opens on July 26, at kate.young@utoronto.ca. Emails sent earlier will not be accepted. Please include a short note on why you need to take the online/in class course. Also please make sure you sign up for either an on-line (for NP) or in-class (for others) section (since there is no guarantee that you will be placed in a desired section). Please include the course name or code in the email subject line.
It would not be possible to make decision until all the NP students have had chance to enrol. Please do not call to inquire about the status. We will send you an email when the space becomes available and you are placed in a course. In the past we were able to offer only a very few on-line spots to non NP students. It would be prudent to not make plans based on getting into an online course.
NUR1072: Advanced Practice Nursing Scholarship
This course is taken in your final term of your MN program if you are in the Clinical or Administrative fields. Please note that all students must be mask fitted and all students must have a completed health form approved by the Faculty Occupational Health Nurse. Health forms should be submitted to the Occupational Health Nurse, Esther Koven (e.koven@utoronto.ca), well before the start of the course to ensure that the health requirements are all completed and the form approved prior to the start of the course.
There is only one mask fitting date at the Faculty so any student who plans on taking NUR 1072 in 2011-12 and needs to be mask fitted should contact Kong Ng at kong.ng@utoronto.ca and arrange for an appointment. Mask fitting is scheduled to take place on September 8.
A mandatory information session is offered each term. Please watch for email announcement on this in the early fall.
Please note that you cannot enrol in NUR1072 through ROSI. We will enrol you in the course as your health forms are completed and preceptors found.
NP Clinical courses (e.g., NUR1101, 1102, 1114, 11015, 1116, 1117, 1110)
NP students are required to take one or more of these clinical courses. Information sessions are held before the start of the course, explaining all aspects of the course.
Please note that students do not enroll in these courses through Rosi. We will do so, when all required documents are submitted.
COURSES FROM OUTSIDE NURSING
If you are planning to take a course outside of the Graduate Department of Nursing Science, you will need permission of your academic advisor (for MN students) or supervisor (for PhD students).
Steps:
- Download the Course Add/Drop form from SGS website.
http://www.sgs.utoronto.ca/Assets/SGS+Digital+Assets/current/Student+Forms/Add-Drop+Course.pdf
- Have the form signed by your advisor/supervisor.
- Take the form to the host department for their signature. They will also inform you of details regarding their enrolment procedures (i.e., when the courses would be available on Rosi, etc.). You have to make sure that they have opened up a space for you on Rosi. Only when they have opened up a space, will you be able to enroll through Rosi.
- Once the enrolment on Rosi is completed, submit your form to Student Service for the final “approval” on Rosi.
- You can check Rosi for confirmation of enrolment and approval.
BLACKBOARD
Most of faculty use Blackboard; however, not all do.
Please note that each faculty decides when to open up the Blackboard to students (usually beginning of September or slightly earlier).
In order to access Blackboard, you must first activate your T-card (student/library card).
Instructions for 2011-12 Fall/Winter course enrolment on ROSI
The courses that are available for the fall, winter and summer sessions are posted on
http://bloomberg.nursing.utoronto.ca/students/graduate.htm
The location of class has not been finalized yet. Please check the website later. It is advised that you check the course offerings on the web again before July 26 to make sure that there are no changes.
REQUESTING/ENROLLING IN COURSES
Students may begin enrolling in courses on Tuesday July 26, 2011, when course enrolment on Rosi opens at 6:00 AM. Both fall and winter session courses will be available for sign up. For students in Post Master’s program, the enrolment will be done by us.
It is anticipated that there would be no systems related problems on July 26; however, if there is one, an email will be sent to you. Please make sure you check your email before trying to reach us. Please send me an email (rather than calling) if you run into problem with ROSI. You will get a faster response through email.
For those new to ROSI, there is a short video clip on how to navigate ROSI http://www.rosi.utoronto.ca/demos.html.
Please choose “course enrolment” option on the left side of the web page, once you have successfully logged onto ROSI (www.rosi.utoronto.ca). It will bring you to another webpage that should show the sessions in which you may be able to enrol.
Be sure to enter:
Activity Code (or course code): e.g. NUR1022H (Don’t forget the suffix, such as “H”)
Section Code: usually F, S or Y. This normally indicates whether the course is offered in the fall session (F), the winter session (S) or over both (Y).
The next screen will show you the lecture section(s) that is available. You can then select the section that you wish, provided that there is space.
Teaching Method: all graduate courses have a teaching method of LEC (lecture).
Lecture Section: Most graduate courses have only one teaching session (0101). Although there may be only one teaching section the information must still be entered on the system.
NB. Some courses (none for nursing courses) may require instructor's approval in addition to that given by the co-ordinator/academic advisor.
ROSI will let you know if you were successful in adding/enrolling in the course. To double check that you are actually enrolled, you should click on the "List Courses" button at the top of the page.
Students are responsible for knowing the status of their course requests at all times. This information can be obtained via the web service. The following are the possible statuses:
APP: Request approved. Student is enrolled in course.
REQ: Course requested. Must be resolved/approved by the last date to add a course.
INT: Course requested pending instructor approval in addition to co-ordinator's/advisor's approval.
REF: Request denied. Student is not enrolled and may not make another request for this course via the web during this session.
CAN: Course cancelled (student withdrew from course before deadline)
WAIT: No room in the meeting section. Student has been placed on a waiting list based on category and will be enrolled automatically if space comes available.
DWAIT: Student has cancelled place on the waiting list or been removed.
Cancelling or withdrawing from courses:
Students may cancel or withdraw from individual courses using the web service up to certain deadline dates (please refer to Important sessional dates below).
Collaborative programs
As a graduate student, you can participate in a dozen or so collaborative programs that our department participates in. In most cases, completing a collaborative program entails taking one extra course and participating in academic activities of the collaborative programs. Upon completion, the transcript will denote the completion of the collaborative program.
For a list of collaborative programs, please refer to http://bloomberg.nursing.utoronto.ca/prospectives/mn/collaborative.htm
Important sessional dates
Please refer to the following document for important dates.
http://bloomberg.nursing.utoronto.ca/students/graduate/Graduate_Sessional_Dates_2011-2012.htm
In particular, please note the last date(s) to drop courses without academic penalty.
MN program requirements
Please refer to a chart on MN program requirement when selecting courses: http://bloomberg.nursing.utoronto.ca/students/graduate/mnstudents/mn2006.htm.
For those who started the program before the fall of 2006, please refer to the appropriate chart on http://bloomberg.nursing.utoronto.ca/students/graduate/mnstudents.htm. You may follow the requirements in effect at the time of your admission or the present requirement.
Awards
Award offer letters have gone out with the admissions offer letters earlier. Congratulations!
For those who are new and have applied for awards, but did not receive one, if any additional award becomes available, we will let you know.
Essential Grad Guide (Information for new and continuing students)
The information booklet is produced by the School of Graduate Studies and contains important information on registration, fees and many other important topics. Please refer to it on http://www.sgs.utoronto.ca/informationfor/students/start.htm
Orientation (for new students)
The 2011-12 orientation will be held during the week of September 6 (exact date to be determined later) for new students. SGS is holding their orientation in the morning of September 6. Further information on these events will be forwarded at a later date.
In addition, there will be residency sessions for NP students in the first week of September (September 6 to 9). Further information will be sent at a later date.
Library/Student card
At the University of Toronto, “T-Card” serves as both student card and library card; however, it is much more! It allows you to access your email account and more. Further info on T-Card can be obtained from http://www.utoronto.ca/tcard/.
In fact for those new to U of T, it is not a bad idea to get a head start by obtaining one now and avoid long line ups in September.
Students will be asked to show two pieces of identification: photo ID (e.g., driver’s license) and proof of acceptance to a graduate program. Students need NOT produce proof of tuition payment.
Only University-issued email accounts will be accepted by the Student Web Service. Please ensure that you create University-issued email accounts and record the University email address in ROSI.
Access to the University’s student portal and learning management system requires the UTORID username and password provided when the T-Card is created. Students must activate the UTORID in order to access the services and course information hosted on the portal. For information on how students can create their email account please refer to: www.utorid.utoronto.ca
Email Account
All U of T students are issued an email account (@utoronto.ca). Some new students may be assigned an email account with @mail.utoronto.ca domain. Currently the university is switching over to a new email system. Please refer to http://email.utoronto.ca for further information of the switch over.
Students are responsible for maintaining the university issued email address on ROSI. Much of official communication from the faculty and the university will be in the form of electronic messages.
We realize that many of you have multiple email addresses; however, to avoid much hassle, we strongly urge you to obtain a university issued email address, update ROSI with it, if you used another account at the time of application, and use it for all university related business. Using non U of T account may put you at a severe disadvantage. Forwarding of email is possible with UTORmail; however, it is strongly advised that you do not forward you email from UTORmail account to another personal email.
A listserv of new and continuing students will be established by the beginning of September and non U of T email addresses may not be included and thus you will miss all the important communication from the University.
ROSI
ROSI is student web service site that allows you to update your personal information, view timetable, access fee account information, order transcripts and much more.
All of you should be able to access ROSI now. The initial log in involves entering your student number and PIN, which is set as your date of birth (YYMMDD). If you have not done so, already please log on and change your PIN.
GSU and Opting Out from Health Plans
The Graduate Student Union (http://www.utgsu.ca) administers health/dental plans for graduate students. All graduate students are automatically enrolled in these group programs. If you are a student with equivalent insurance elsewhere, you may opt-out of these plans in September or January. You must opt-out annually, at the beginning of the term you are first registered in (normally Sept.), or the term you get new equivalent coverage.
The window of opting out period is limited. Please make sure you check GSU website for details.
Confirmation of registration/enrolment
If you need a letter confirming your registration/enrolment status at the University, please contact SGS. All confirmation letters are now provided through them. http://www.sgs.utoronto.ca/Assets/SGS+Digital+Assets/current/finishing+up/Letter+Confirming+Registration.pdf
Balance of degree fees
The length of the program, as defined by the graduate unit into which a student is admitted, predetermines the minimum total academic fee that a student must pay prior to graduation. For MN program, the minimum length of program is 2 years. Many part-time Master’s students must pay a balance of degree fee prior to graduation. Full-time students who accelerate their programs and finish the degree requirements in less time than the normal program length must pay a balance of degree fee. If a student has paid more than the full-time fee due to the time taken to complete the degree requirements, there will be no refund of fees.
This fee is determined by SGS at the end of your program. It arises because part-time fee is significantly less than the full time fee and part-time students complete their degree requirements in relatively short period of time.
If your employer is paying for your tuition fee, you may want to discuss about the balance of degree fees with your employer.
Doctoral Fees in the final year
Academic fees for doctoral students in the final year of their program are pro-rated and based on the 12-month academic year. Incidental fees are charged on a sessional basis. Flexible-time Ph.D. students registering part-time in the final year continue to pay part-time fees. Part-time fees are NOT pro-rated.
Fees are based on the date the student submits the final thesis to SGS, not the date of thesis defense.
Doctoral candidates who complete all degree requirements, (i.e. defend and submit a final thesis with all corrections and modifications approved to SGS), by September 15, 2011 do not pay fees for the September session.
After September 15, 2011, a monthly fee will be charged for each month in which all degree requirements are not completed by the 15th day of the month. Doctoral students finishing between September 16, 2011 and January 15, 2012 will pay a one-session incidental fee and those finishing between January 16, 2012 and August 31, 2012 will pay a two-session incidental fee.
Doctoral students will be billed for the annual fee but may choose to pay: 1) the full fee, 2) the minimum first payment or 3) the fee based on the expected date of completion. If a student pays LESS THAN THE FULL-YEAR FEE, please note that starting Nov. 15th a monthly service charge will be applied to any outstanding balance. When degree requirements are complete, the Student Accounts Office will adjust the fees accordingly, including service charges to outstanding balances that have accrued since Nov 15. A table of monthly academic charges plus incidental charges will be posted soon at www.fees.utoronto.ca.
PhD Candidacy
For those going into their third year (in the case of PhD) and fourth year (in the case of direct entry or flex-time PhD), please be reminded that this is your final year to achieve candidacy.
Achieving candidacy refers to completion of all course requirements and the successful defense of your thesis proposal. Failure to achieve the status within 3 or 4 years will result in you being prevented further registration in the program. A request for the extension of achieving candidacy status is available, but it must be approved by the Department.
GO Transit Discount
Application forms will be available at SGS (63 St. George Street) in late August/early September.
International Health Insurance Plan (UHIP)
The University Health Insurance Plan (UHIP) is compulsory for all international students and their dependents and available for students who are not covered by the Ontario Health Insurance Plan.
The International Student Centre is responsible for administering UHIP, distributing cards, processing exemptions and refunds, as well as answering questions. The UHIP administrator can be reached at 978-0290 or uhip.information@utoronto.ca.
